What we collect
When you email Apollo, we receive your email address, message content, and any attachments you include. We also store conversation history so Apollo can reference prior exchanges. We may store a profile of your preferences and context learned across sessions.
How we use it
Your data is used to process your requests, maintain conversation context, and improve Apollo's responses to you. We do not sell or share your data with third parties for marketing or advertising. We do not use your data to train AI models.
Third-party services
Apollo uses third-party services to operate: Anthropic (AI processing), Resend (email delivery), Amazon Web Services (file storage), and cloud infrastructure for hosting. These services process data only as needed to provide their function and are bound by their own privacy policies.
Connected accounts
If you connect external accounts (like QuickBooks), we store the connection credentials securely via a third-party OAuth provider. We access your data in those services only to fulfill your requests. You can disconnect at any time.
Data storage and security
Emails, conversation history, and attachments are stored in encrypted databases and cloud storage. Temporary working files created during processing are deleted immediately after each request completes. We take reasonable measures to protect your data, but no system is perfectly secure.
Data retention
We retain your data for as long as your account is active. If your account is inactive for over a year, we may delete your data after notifying you. You can request deletion at any time and we will remove your information within 30 days.
Your rights
You can request access to, correction of, or deletion of your personal data at any time. You can also request a copy of your data in a portable format. To exercise any of these rights, email us at the address below.
Children
Apollo is not intended for anyone under 18. We do not knowingly collect data from minors. If we learn we have, we will delete it promptly.
Cookies, browser extension, and tracking
This website does not use cookies or tracking technologies.
If you use the Apollo Chrome extension, additional data is collected to enable browser automation features:
- Cookies: When you choose to share a browser session, cookies for the active site are sent to our server to enable authenticated browsing on your behalf. Cookies are stored securely and used only for the sites and sessions you authorize.
- Screenshots and page content: During browser automation, Apollo captures screenshots and reads page structure (accessibility tree) to understand and interact with web pages as directed by you.
- Workflow recording: If you use the recording feature, audio from your microphone and click events (element selectors, page URLs) are captured and sent to our server to create reusable workflows. Recordings are stored only for your account.
- WebSocket connection: The extension maintains a persistent connection to our server for real-time communication during automation sessions. No data is transmitted when the extension is idle and disconnected.
All extension data is scoped to your account and subject to the same retention and deletion policies described above.
Changes
We may update this policy. We will notify active users of material changes via email. Continued use of Apollo after changes constitutes acceptance.
